Auditorium Guidelines
Thank you for your interest in The Hamilton Spectator. We are pleased to provide the auditorium as a goodwill gesture to your group. Please review the auditorium guidelines below. Should your needs meet our guidelines, please fill out the booking sheet and submit if for review. It is advisable to call in advance to confirm auditorium availability for your event.

• The auditorium is available after 6:00pm for community groups and business partners.
• Bookings cannot be made more than 2 months in advance.
• A minimum of 50 people is required to secure your booking. The maximum capacity is 250 people depending on the set-up of your function.
• Pending internal bookings, entry or set-up before 5:00pm in not available. Teardown and equipment removal must be completed by 10:30pm. Please include enough time for set-up and teardown when booking the auditorium.
• Please arrange your own audio-visual equipment needs. AV equipment is not available.
• On arrival, please check in with Security at the front entrance.
• Groups are allowed access to the auditorium and front lobby area only. All other areas of the building are restricted.
• Please do not pin, tape or hang items in the auditorium.
• No exchange of money through entrance fees, seminar fees (including pre-paid), sale of items, memberships, solicitation for funds (fundraising) is permitted in the auditorium.
• Alcoholic beverages, smoking, dancing, music or animals are not allowed in the building at any time.
• Other than bottled beverages, food is not permitted.
• Each group is responsible for complete clean up by 10:30pm. Please ensure or make arrangements for clean-up of the auditorium.
• Should any damages occur, a “damage fee” is subject to apply in addition to the cost involved to clean or repair the damage. All costs are based on the current contractor used by the The Hamilton Spectator.
• Spectator staff (including security) is not available to help with your auditorium needs during your function.
• Auditorium use and attendance will be monitored and recorded.

In order to confirm your date and set-up needs, the accompanied booking sheet must be completely filled out within a minimum of 15 business days prior to the booking date. Failure to meet this requirement may result in cancellation of your booking.

Although we make every effort to confirm your booking, internal bookings do take precedence, regardless of how far in advance you have booked. Should you get bumped we would make every effort to contact you as soon as possible.
